Schedule Not Updating with Author Changes in Submissions

Last updated Jul 22, 2026

Question

Why is the schedule not updating with changes to presenting authors in submissions, even when 'Update session speakers list with newly-added speakers from associated submissions' is enabled?

Answer

The setting 'Update session speakers list with newly-added speakers from associated submissions' updates the speaker list only for session submissions that are explicitly associated with sub-sessions. If a submission is associated with a main (parent) session, you need to also enable the specific option below the session title field to update the main session program details.

Currently this main session update only refreshes the submission title and description and populates the speaker list of a session when the session's associated submission is updated with a new presenting author. This applies to both sub-sessions and main sessions.

Please note, it is not currently possible to automatically remove a speaker from a session when the presenting author is removed from its associated submission. The system cannot distinguish whether a speaker was added manually by an admin or automatically via submission updates, so to avoid accidental removals, speakers are not removed automatically when a presenting author is deleted from a submission.

In summary:
- To have session speakers update with submission author changes, ensure submissions are properly associated with sessions or sub-sessions, and relevant options are enabled.
- Speaker addition from submissions is now fully supported for both main sessions and sub-sessions.
- Speaker removal based on author removal in submissions is not automated currently to avoid unintentional removals.

If you have further questions or want to review a specific session setup, verify the session-submission associations and settings in your program scheduler.
